How to organize an online workspace/file storage for a design team?

Situation: now all working files (layouts, templates, documents, etc.) are stored on a local server. There is no way to make it open to the outside. The following obvious shortcomings have been outlined:
- the inability to work with templates / layouts / working materials from outside (from home, for example)
- in fact, a manual search for the necessary documents, based on storing the structure of working folders and files in memory
- reporting and discussion of work goes eye to eye, that is, verbally with minimal notes on the board in the office
- there is no way to give a permanent link to the file that the client needs at his request at any time.
Conditions and features:a small team of up to 10 people, mostly designers, all in one office. Working files are quite capacious (up to 500 MB), the number of tasks is average with fast implementation times, projects up to 1.5 months are much less common.
The question is: what conditions for organizing an online workspace, file storage can be considered, which ones have you already introduced into your daily practice?
