What tool to use to orchestrate an integration release pullout?

As it is now
There is a scope of changes that needs to be moved to Production. In MS Project, a release plan is drawn up. This is about 200 points: shutting down / starting systems, removing improvements, rebooting components, smok testing, informing users, etc. For each item, the responsible person (about 30 people in total) and the ticket in SD (request for change) are indicated. Some items can be done in parallel, and some require a strict sequence. The main removal phase lasts about 6 hours. And all the coordination goes in mail/chat. Responsible unsubscribe when they complete and take items to work.
Problem
Difficulties begin when one of the tasks goes beyond the time frame allocated for it (of course, this happens every time) and the shift in terms needs to be broadcast to the participants of the removal. At the same time, the work of the takeaway coordinator is reduced to completely manual control - point-by-point issue of the plan items to the work of employees through writing letters / personal messages / calls.
What you want
Get away from coordination in mail with hundreds of recipients and 10-megabyte letters.
Find a tool that will allow you to see the current status of the plan items in the general web interface and enable the performers themselves to update the status of their plan items.
Tint items that:

  • can be taken to work
  • already done
  • overdue

In general, if someone faced with the solution of similar problems, please share your experience.

mixed feelings ....
it seems, according to
a decent person,
but I don’t know Gantt charts
well - at least so that MS Pro is not
even easier for everyone - via chat / messenger, but progress is not visible in the chat
