How to document the life cycle of goods on the website of an online store?

Hello!
I'd like to document the life cycle processes of the products on the site in some way. And in general, the business processes of filling, editing, etc. site.
For example.
I have a store, offline, which sells goods on promotions. Promotions may apply to the online store. At the same time, promotions in the online store can be of two types: those that are an extension of the usual offline ones to the online store, and those that are valid only in the online store.
When displaying the product, this moment should be taken into account and displayed accordingly.
What I would like to see in the end, for example, when describing the work with the product on the site:

  1. The product is loaded like this
  2. Responsible for the description of the goods
  3. When displaying, such and such product properties are used depending on the category
  4. It is checked whether the product participates in promotions, if it does, then the types of promotions are checked, etc. ...
  5. If the product is not in stock but arrived then, then the product can be ordered
  6. For groups of users such and such a product is displayed in such and such a way
  7. The discount on the goods is formed in such and such a way

I would like to see such an extensive visual diagram, where all this is reflected. Ideally, so that I can click on the circuit and see the responsible, the conditions that lead to this point in the circuit, what is the output, what is the input.
A very similar moment would be when using IDEF0, but for me it is not visual, inconvenient, not user friendly. It is necessary that each manager can click, for example, on a user and see the details - how to contact him, how to send mail, for what moments he is basically responsible, etc.
Those. so that this kind of "documentation" allows in a visual and convenient form for each user to display any moment from the life cycle of each entity of the online store: product, order, promotion, news, etc.
It would also be possible for individual users to explain some software things, for example, to see the module being used or a piece of program code.
Is there something similar that can be deployed and where can such documentation be maintained?

In an ideal scheme, as you have described, the fastest is not. There may be echoes. In general, it is worth deciding and executing, but without technical specifications and detailed schemes, it cannot be implemented. In part, your functionality is available in standard stores, but the question is in your accounting system and how everything is organized there.
If you have 1C and it is in full order with promotions, then unloading will not take much difficulty, if there is a mess or zero at all, then there is a lot of work.
To understand how it should be, it is worth drawing the entire BP and the traffic scheme by hand, and showing it to IT specialists who specialize only in online stores and nothing else.
It won't be cheap right away.
