Look towards old servers on xeons. Same Supermicro. Yes, there will be no ddr4, there will be no super-powerful processors. But, with due diligence, you can assemble a very good car from used components. A tower-type server will not be very noisy, there may be a couple of processors of 8 cores each with a cache of 12 megabytes on a 1366 socket, easily 64 gigs of DDR3 registered memory (or even more), a lot of space for disks, or even RAID- controller. For the video, you can take some kind of "plug" for 4-5 thousand. At the same time, disks will be the most expensive in this configuration. I wouldn't buy them used. In your question, you did not indicate the budget of the event, but the option I described can be put in 70 thousand, plus or minus, if you wish. It will be a reliable, time-tested hardware. There are virtual machines, and teraforms, and other vagrants, and that's all, whatever your heart desires. At least raise NextCloud there for home needs.
I will support Artem's initiative , to assemble a terminal with a good frequency, memory and ssd for work . It will be quiet, neat and comfortable.
Look under virtual machines according to their needs, parameters and frequency of use, and then figure it out: either rent from a hoster according to the degree of need, or put a second-hand supermicro for a couple of sockets in the pantry/toilet/balcony.
From my own experience I will say, take a gaming computer. Really. Order from someone like HYPERPC or Invasion Labs. Yes, it is not cheap, yes, mainly because of the top-end video card, but these will be professionally selected components, with a guarantee and subsequent maintenance.
