How to return money to a client in case of refusal of a service?

Greetings!
I have an online accommodation booking service. I work on a "public offer". After the client has chosen accommodation on the site, he pays me for the "booking service" (10% of the cost of living). He pays by card directly on the site. I "punch" him a check through the online cash register and send it to email.
Sometimes situations arise that the client refuses the booking and I need to return the money to him. Clients are scattered across different regions of the country - they cannot send me any paper applications for a refund, everything needs to be done "online".
Tell me who faced, how to correctly issue returns? How can I return money to a client? Can I do this with a r / s IP? And just from your personal account? How in this case to conduct KUDiR?
Thank you.

Be sure to write a statement on the part of the failed buyer, and only on the basis of this scribbling, return the money to the buyer. The procedure is not fast, you have up to 30 days to close the issue in a pre-trial order. Without an application, with all the passport data of the buyer, you will have problems with the tax. Like a hole for the withdrawal of tax-free funds, cashing out.
I myself, as the owner of Internet stores, have experience, and as a buyer in online stores, I also encountered this.
