Start with yourself.
Choose 2-3 priority business processes for different positions in the company,
determine for yourself the criteria by which you can evaluate the convenience of using the "box",
use the proposed "boxes" - start and end processes,
compare results, think about how much time it can take to train employees at least for these 2-3 priority business processes.
You can try to work in different CRMs by experience - this is well suited for small organizations, or you can analyze your business processes and, to a lesser extent influencing the workflow, single out a specialist (or a group of specialists, or order consultants, hmmm- m), which will analyze how and where it is better (according to the selected criteria) to conduct these BPs.
Total:
1. Want to get started quickly? - only a "box" (then maybe another one, then the next one, etc., and remember - taking a big one and redoing it for yourself is often more expensive than creating your own from scratch);
2. Do you have 2 months for analytics? - spend, if the "box" does not fit, then order the development. Even if after two months you choose the "box", then there are more pluses - consider that you have carried out a diagnosis of the organization, you can be based on facts for making managerial and organizational decisions.
PS: what you wrote is not really a requirement, it's a "Wishlist", in which, probably, the availability of the system from a mobile phone is "by itself and is not even discussed")).
