I will not answer in such detail ... But I hope that it will come in handy - look towards RFID technologies. We somehow did similar things on bracelets. From the inside of the technology, I won’t tell you much more right away, it was a long time ago and contractors did the main work.
There are ready-made access control systems, one of the simplest and cheapest is Legos , aka Octagram. Primitive software, installed on any PC, can link cards to users and build reports for each user for specified periods of time. This is what I really had to work with. At the same time, I can add that “simple” and “cheap” in this case does not always mean “good”. There are much more stable and flexible, but more expensive, access control systems.

We use Kodos for 500 visitors per day + 3000 staff.
I can't say that we are very satisfied, but almost all of our problems are the result of the poor work of the implementers during the installation of the system.

I also did the same (accounting for access, but not control!) on Impinj Speedway equipment, with the only difference being that the reading range of RFID tags was 5-6 meters. The antenna was placed above the door. The tags didn't even have to be delivered from your pocket.
