What is the solution for this situation?

Here's the challenge:
There are several companies (6-7) who send us a list of customers who are running out of insurance and who need to call and offer an extension. One “client” (that is, in one line) has several basic parameters: insurance expiration date, full name, phone number, car brand, old insurance price, new insurance price. In addition to these common parameters for all, there are individual parameters for each insurance company.
We distribute customers among our employees, who are located in different car dealerships. They call clients and write comments on the results of the call (renewed a new policy, did not renew, etc.).
At the end of the month, you need to collect completed lines from all employees, distribute them back to insurance companies and send them to each company.
For now, we do it all by hand.
The problem is that companies send lists at different times, and sometimes one company sends the list in parts. We again have to isolate customers by car brand in order to distribute them to the right employee in the right car dealership.
Ideally, I would like to import excel tables into a kind of “database”, where during import it will be possible to specify in which columns which parameters, and thus this database will make up a large “pool” of clients, with which it will already be possible to work, distribute among employees, it is possible to connect telephony, add new portions of clients, set call reminders, export data.
Please tell me the most appropriate solution.

Make a Web application for employees, let them receive tasks and mark their completion right in it.
Add import and export scripts for sharing with insurance companies.
