Transfer of mail / where to go to set up integration with the CRM?

Good afternoon, dear users.

I'm going through a quest and, like a teapot, I can't formulate a task for an external system administrator
(by the way, I'm looking for an alternative). I ask for the help of the collective mind in solving and setting the problem.
I apologize in advance for the unprofessional presentation of the problem.

Given:
- distributed team (Russia, China, Europe)
- domain on reg gu
- hosting and mail on Fornex (10 addresses)

Everything was fine until the Zoho Bigin CRM was launched. CRM offers integration with mail, which is very convenient for work, they did it using the IMAP protocol - they did it themselves.

There was a problem 1. When integrating mail with the crmka, letters sent from the crmc do not remain in the mailbox. It took a week to figure out the issue, fornex and zoho nodded at each other (to give credit to zoho - they did monitoring through remote access to exclude all jambs on their part, fornex just composted brains). Bottom line - fornex replies that it cannot provide such an opportunity (leave letters sent from the CRM in the "Sent" folder of the mailbox) - not provided by the current code.

My reaction is ok, I'll try to create a new mailbox on zoho mail and transfer the sales that work in zoho to it. I created a new address (on the same domain), integrated it into the CRM. For correct operation, it was necessary to change the MX settings - Changed through reg.ru.

There was a problem 2: all the mail that is on fornex collapsed.
Fornex comment:
"You can't make two mailboxes on the same mail domain work from different mail servers. If _address1_ should work from our facilities, then _address 2_ will also work from our facilities.

My reaction is rolled back all back, restored the work of the mail, which is on fornex.I

can not understand what needs to be done.Desired result:
- all addresses are tied to the same domain
- some of the addresses work with integration into zoho crm, while letters sent from the crm remain on the mail server and are visible from the mail client
- some of the addresses work without this integration, they just use the mail client.

And where to move and how it all...Help!

@Drno

Are you looking for a new admin?) I'm all yours then))
Mail really will not work with 2 different mail services, this is the norm.
To check the capabilities of the service, I would simply create a personal mailbox there (the same zoho mail), attach it to the CRM and check whether it will work as you need ...
Well, you can also raise your mailer, but this is probably an overkill for now

Two options:
1. Since you have a good relationship with zoho and they help you, then stupidly ask them what version of the mail service their cms is guaranteed to work with (maybe Yandex.connect, maybe Gmail for business, maybe (a bunch of other options) - I'm sure 2. Hire a postmaster, he will raise exim
/postfix for you + everything you need and no letters from outgoing/sent ones will be lost :)

1. for understanding: MX (pointing to fornex) only affects receiving mail from the outside world. You can send via another server (zoho). At the same time, for incoming, you can configure either forwarding (to zoho at the initiative of the fornex mailer) or mail collection (zoho on its own initiative picks up its mail from fornex).
Minus: with such a scheme, anti-spam systems may suspect zoho mail of something bad.
2. an elementary crutch: continue to use mail on fornex, but when sending from zoho, add your own address to the copy (you can even blind copy). Well, these letters will be stored not in "sent" but in "incoming", well, do not care (sorting by sender or search by sender is decided), but you don't have to rack your brains at all. This is how managers send letters to clients from 1C.

I can not formulate a task for an external system administrator
If the system administrator needs to describe each action, then this is a so-so system administrator. When everything is detailed and it remains stupid to complete, then a robot or a trained pet will cope with the task. :) If he called himself a system administrator, then he should look for and offer solutions himself. It turns out that he shifted his work to you.
The current sysadmin says - set a clear task
A clear task: you need to send mail from CRM from corporate mailing addresses, and that all outgoing letters remain.
