I would be grateful if anyone could share their experience of using or running systems for archiving letters. Of course, software solutions are of interest and Opensource is desirable.
I plan to use regular SMTP archiving from mail relay or mail server.

Look into the technologies of the so-called "legal mail hold", in some companies it is part of the IT security system.
In principle, if you have exim/postfix/sendmail, it is quite easy to set up folding the logs and the letters themselves (both to us and from us) into a separate storage, at the processing level at the time of receipt either from the client for sending or from the server incoming.
I saw this in Exchange, but I didn’t set it up, I don’t remember corny about Zimbra, I deployed it very quickly and forgot, I didn’t go into the parameters too much.
