How to systematize your resources, hardware, sites, logins / passwords, etc.?

At the moment I have a zoo of various devices, resources scattered geographically. Something personal, and something of my clients. These are virtual servers on various hypervisors, each running Windows servers, Debian FreeBSD. Several Zabbix, Zabbix proxy, NextCloud and more. Sites mine and clients, for some created a separate user on the server. Mailboxes and cloud storages associated with them, which also store some information, YandexMoney ... Logins / passwords from sites, resources, mail, databases, root passwords ....
Devices: Mikrotiks, routers, radio bridges, IPTV set-top boxes , IP cameras, NVR, alarm system, smart home...
All this economy is taken into account through tablets in Excell (mac, ip, matrix type, serial numbers, equipment type ...), Visio (network diagrams), KeePass - logins / passwords.
Lately, I'm just starting to forget where, what is. In case of adding a server or deleting an unnecessary one, I forget to make changes, recently I began to write logins / passwords in Visio diagrams for insurance, and in KeePass I began to look at plugins that expand its functionality (pictures, storage of some kind of data, for example, firmware and saved configurations).
Help advice so as not to go crazy. Something free and universal, because. All of the above is a hobby.
The last thing I tried was Wordpress with the PODs plugin - it turned out to sort everything out, but confuses security.

1/ I chose to store locally / on a flash drive / in the cloud of directories with the name of the client: inside all appearances and passwords
2 / I'm trying to find an actual solution to replace TheBrain with correct support for the Russian language to
maintain an up-to-date knowledge base, links, etc. and preferably with a web face ;-)
