How to divide and take into account the startup budget?

Here I provide a service as a team of freelancers. I get money from a client for it. Of this money, you still need to pay for a proger, a copywriter, a designer, a photographer, and others. And don't hurt yourself. When there are more than a few such projects, everything gets confused in general, I already keep tables in Excel and write a notebook with my hands and hang up reminders. Does not help.
What is the solution to my problem? Some kind of service where all my people will be recorded and the costs for them with comments and to whom I owe what and who should do what work for me.
I have an iPhone, a MacBook Pro and a Linux computer, and it would be great if it is still convenient to synchronize.

Start using some sort of project management system. For example Basecamp. Then everything will be logical and understandable. Who has done what and how much, how much more needs to be done, how long it will take, how much to pay to whom, etc.

We keep everything in google doc. Simple and effective. Tables:
1) RFP plate for each employee
2) General plate with receipts for each period (twice a month), we highlight the payment status with colors
3) A separate plate with project statuses.
Now we are developing a system for all this, but so far so.
